Job Description
Provides leadership over facilities operations administration and the management of the physical assets for the Society and affiliates. Handles operational budgets, tactical plans, policies and regulatory compliance. Oversees SHRM's corporate campus (2 buildings - 80,679 s.f. and 77,934 s.f.) Functional responsibilities include facility management, property management, leasing and space management, event facilities management, grounds maintenance, parking management, office and mail services, shipping and receiving, procurement, contract management, records management, property, casualty and risk management insurance, and business continuity planning readiness. This role will ensure the compliance with government regulations including ADA, OSHA and Environmental Health and Safety.
ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following. Other duties may be assigned.
. Responsible for the creation and oversight of facilities and property management strategy implementation and delivery. This role ensures service delivery is to a quality standard, delivered in a consistent manner, and appropriate to business needs.
- Space management
- Safety (SIP and evacuation drills)
- Works with an independent broker to determine appropriate insurance coverage and administration of insurance plans.
- Ergonomics
. Ensures that facilities maintenance, including labor, materials, and contracted work is completed efficiently and at the best value to the organization.
. Oversees contracted building services, contract and contracted staff.
. Develops and implements standard operating procedures for property maintenance and customer service. Reviews, updates and enhances policies and provides on-going education to staff.
. Manages property's third party tenant relationships and works with leasing agents to rent space when vacant.
. Oversees procurement and contract management functions to ensure ongoing maintenance, quality and standards are delivered as contracted. Confirms service level agreements and expected performance criteria for vendors.
. Ensures that the business continuity plan and related disaster recovery plans are current and reflective of SHRM 's business. Develops and implements business continuity strategies and plans based on industry standard best practices.
. Oversees mailroom, supplies, vendors and process. Ensures pantries are stocked with basic supplies.
. Ensures environmental compliance.
. Works with Travel Management company to ensure service level agreements are met. Revise and enhance travel program and policies. Trains organization on travel products and services.
. Keeps business units up-to-date on all facilities and operational matters that are pertinent and relevant. Keeps open lines of communication and collaboration to ensure customer needs are met.
. Forecast and manages department's budget and oversees budget for preventive maintenance and vendor services. Approves operational budgets and expenditures. Develops and communicates long range projections for the facilities operating and capital budgets.
. Conducts internal audits of expenses related to maintenance and construction projects to ensure accurate reporting of time and materials.
. Represents the department as an expert or resource during cross-functional projects, events and meetings.
. Promotes a positive and productive working environment with high morale and a commitment to the quality of a high performing organization. Plan, document, and manage the performance of managers and staff.
. Some business travel required (10%)
